- A minimum is any period of four (4) hours or less. It is not charged in conjunction with another period charge: it is charged only if the vehicle has been out less than a day.
- Due to volatility of fuel prices, mileage rates may be adjusted up or down during the year. University rental vehicles are not charged for gas. Each vehicle is issued a gas key and credit card. The key is used at the gas pumps located by the rental dispatch location; the credit card is to be used only when not in the area. The gas credit card can be used at any station whose brand is displayed on the brochure in the rental.
- Effective 11/01/02, all drivers of 15 passenger vans must have completed a 2-hour driver training course.
Other Possible Charges
- Insurance Deductibles - Insurance coverage is supplied with all rentals. The University vehicles have a $500.00 deductible on collision and comprehensive. Glass breakage has a $0 deductible for road chips and stones.
- Cancellations - A minimum charge will be charged to any party that does not cancel at least 24 hours in advance.
- Late Fees - If the vehicle is brought back later than originally scheduled without the prior approval of Vehicle Rental and this results in an inconvenience to the next user, the current user will be charged for the extra time, plus an additional $5 an hour up to a maximum of $40 a day in late fees.
- Fuel Cards - There will be a $25 charge for all fuel cards not returned.

- No vehicle will be dispatched without the necessary approval(s) and documentation.
- All drivers must be on the University payroll. If not, they must be a student or volunteer with written permission from the head of the using department. All drivers must be at least 19 years of age and have a valid driver's license from one of the fifty states or Canada. We accept restricted driver's licenses. The person picking up a vehicle must present their driver's license. All other drivers must have their name and drivers license number on the rental agreement.
- The only passengers allowed in any vehicle are those on official University business. No exceptions!
- All accidents must be reported, whether or not there was any damage done to the University vehicle. Renters are liable for all damage to the vehicle, whether or not it is accident related. Fleet Services will only reimburse the cost of damages when an accident report is filed and the claim is approved by insurance.

- Dispatch hours are from 6:30 a.m. - 6:30 p.m. Monday through Friday and 7 a.m. - noon Saturday and Sunday.
LEASING
Lease rates are available for departments willing to commit to a period of one year or longer. The monthly charge is roughly 50% of a similar vehicle's monthly rental period charge. Mileage rates are the same. Any type of vehicle can be leased. Three month's notice to start and end a lease must be given.
